Flow is Hiring! - Office Manager/Graphic Designer



Position: Office Manager at Flow Design Architects

  • Requirements:

    • Education: Bachelor’s Degree required (Examples include but are not limited to Management, Marketing, Communications, Languages, Graphic Design, or B. Arch).

    • Language Proficiency:

      • Proficiency in English is required.

      • Spanish proficiency is highly desired.

    • Experience:

      • Previous experience in writing and managing proposal requests is required.

    • Technical Skills:

      • Proficiency in Office Suite (Microsoft Word, Excel, PowerPoint, Outlook) is required.

      • Proficiency in Adobe Suite (InDesign, Photoshop, and Illustrator) is desired.

    Responsibilities:As the Office Manager/Graphic Designer at Flow Design Architects, you will oversee and perform a range of administrative and operational tasks to ensure smooth day-to-day office functions. Driving is required. Ideally you will live within 45 mins of the office at most. Your key responsibilities will include:

    1. Administrative Tasks:

      • Answering and tracking phone calls.

      • Monitoring and ordering office supplies.

      • Managing office licenses, including updates and renewals.

      • Organizing and maintaining up-to-date client, contractor, and consultant lists.

    2. Financial Coordination:

      • Preparing and sending invoices to clients.

      • Following up and collecting payments.

    3. Marketing and Social Media:

      • Planning and executing marketing activities.

      • Managing and creating content for social media platforms (Instagram, YouTube, Facebook, X, and others).

    4. Event Management:

      • Planning and coordinating office events and activities.

    5. Business Development:

      • Pursuing public and private project opportunities.

      • Responding to Requests for Qualifications (RFQs) and Requests for Proposals (RFPs).

Your role will play a crucial part in enhancing Flow's overall office image, management, and coordination. Additionally, you will be involved in supporting Flow Principals on various missions and campaigns related to community outreach, training, and diversity/inclusion initiatives.
